This Policy applies to any natural person that we process personal data about where such Personal Information has been collected by us (or our service providers) :

“Personal Information” or “Personal Data” means any information relating to an identified or identifiable individual that we collect directly from you, automatically, or from third-party sources. This may include your name, address, email, phone number, device and IP information, login details, marketing preferences, company affiliation, location, CCTV images, CV information, publicly available social media information, or payment card details. Janes collects, uses and, where appropriate, obtains Personal Information from trusted third parties for legitimate business purposes disclosed at the time of collection. 

We commonly collect Personal Information through online forms and registration, including requests for free trials, newsletters, events, sample reports, white papers or product information.

Janes may disclose your Personal Information, as necessary to fulfil the purposes set out above:

All third parties are required to process Personal Data in accordance with written data processing agreements. 

Janes may disclose your Personal Information without offering a choice where necessary to protect Janes’ or others’ interests, rights, safety or property; prevent fraud or manage risk; respond to litigation-related parties; or in connection with a sale, asset transfer, merger or other business transfer. 

We may also share aggregated or anonymized data (that does not contain your personal data, but which may derive from it) with other third parties. 

In all cases Janes requires all unaffiliated third parties to treat Personal Information as confidential. Janes will not provide Personal Information to third parties for their own marketing purposes without your consent. 

If you participate in discussion forums, chat rooms, social media or other public platforms relating to Janes, any information you share, including your public profile, may be broadly available to others and used for purposes outside Janes’ control. Such platforms may have their own rules and conditions, and Janes is not responsible for Personal Information or other information you submit on platforms not controlled by Janes.

5. Security of Personal Information 

We use appropriate technical and organisational measures, including access controls, authentication, encryption, secure storage, monitoring and incident response procedures, to protect Personal Information against unauthorised access, use, disclosure, alteration or destruction. Although no online security is perfect, we take reasonable steps to safeguard your Personal Information. 

6. Retention of Personal Information 

Janes will retain your Personal Information to fulfil the purposes for which it was collected. Retention periods are determined based on the nature and sensitivity of the data, legal and regulatory requirements and business needs and limitation periods.  

 We actively review the personal data we hold on a periodic basis and delete it securely, or in some cases anonymise it, when there is no longer a legal or business need for it to be retained.

• Right of Rectification or Erasure - request the correction and/or deletion of your Personal Information;

• Right to withdraw consent – withdraw your consent at any time where we rely on consent as the lawful basis for processing your personal data.

• Right to Complain - complain to relevant supervisory authorities if your privacy rights are violated, or if you have suffered as a result of unlawful processing of your personal data.

 9. Cross Border Transfer of Personal Information

Employee Information 

Processing of employee Personal Information is primarily based on contractual necessity, legal obligation, and legitimate interests. 

If you are in the process of being employed with Janes or are currently employed by Janes, we may collect and process the following categories of personal data: 

• Identification and contact details (e.g. name, date of birth, address, contact details)

• Employment and recruitment information (e.g. CV, employment history, education, qualifications, references) 

• Government-issued identifiers (e.g. passport details, national insurance number)

• Financial information (e.g. bank account details, payroll and tax information)

• HR and benefits data (e.g. role, compensation, performance, benefits enrolment, emergency contact details)

• Health and related information where necessary and lawful

• Information relating to dependants or beneficiaries where provided in connection with benefits or emergency contact arrangements

Where you provide personal data about dependants or other individuals, you confirm that you have obtained their consent where required.

We use Employee Information:

Employee Information may be:

This Privacy Policy does not apply to sites or applications offered by other companies or individuals, including third party products and services, that may be displayed as content in a search on our website.
